At a certain stage in your business growth you will start hearing a lot about processes and systems, and the importance they hold. In recent years, even mainstream creators and productivity experts have started pushing the idea that you should be setting systems instead of goals if you truly want to achieve them. And, that is for a good reason.
In this post, I wanted to introduce you or rather help you understand what processes and systems are, what role they play within your business and how they can help you grow your business and get to the next level of your business journey.
To put it simply, if you think of your business as a machine, your systems are just the different parts within the machine that helps it run smoothly. Your business systems are the different components which if put together form the how you do business and the mechanism that delivers a defined product or service to your clients.
Your processes on the other hand are the individual tasks and series of steps that need to be taken in order to achieve a specific outcome. At large, your business systems are composed of multiple processes that allow the business to run smoothly.
Ultimately, while your processes focus on what needs to be done, your systems focus on how to execute it – ideally in the most effective way. And here is where some people get it wrong; your tools are not your business systems, they are just a means to an end. Because, systems are often the sum of tools, frameworks and technologies that support and automate processes.
So really, the relationship between systems and processes is as follows : While processes outline the tasks, systems provide the means to execute them efficiently. Together, they ensure that business operations are both effective and efficient.
If you are spending hours every week doing the same repetitive tasks over and over again, then there may be places where you could gain more time and reduce wasting time and get more productive. And this simply by implementing a new system that introduces tools to automate certain tasks, or by reviewing and updating the systems you already have in place.
By having Standardized Operating Procedures (SOPs), you can make sure that the work you delegate is done in the same way you would do it or would want it to be done. Not only that, you can also make sure that the client experience delivered will be the same each time. Just think of your favourite Starbucks drink, whether you are in New York, Paris or Dubai, you can always expect it to be relatively the same. And that’s the power of SOPs (combined with a good system for delivery).
When your systems and processes are well designed and maintained, scaling becomes easier as replicating each successfully won’t be a problem anymore. The unnecessary and inefficiencies that were keeping the business small, and having you do everything by yourself would have been removed and only the essential will remain.
I mentioned the client experience earlier, but in terms of consistency, the same goes for employees. With clearly defined processes and SOPs in place, any new comer will have exactly what they need to acclimate quickly and hit the ground running in their new role. Everything will have been put in place for them to start and do the work in the best and most effective way possible.
